Query Regarding Work Timesheet and Disciplinary Meeting
I am seeking advice on a situation I am currently experiencing at work. I am uncertain if this is the appropriate platform to discuss it, but I hope to receive some guidance.
My work timesheet is accessed through my phone and rounds off the clocking in time to the closest 15 minutes. However, I have encountered issues with forgetting to clock in when I arrive at the company yard, as I immediately become engrossed in my tasks. Additionally, there have been instances where I have clocked in five minutes away from the factory while traveling, causing the clock to start at my scheduled 7 am start time.
As a result of these issues, a staff member ÔÇô with whom I do not have a positive working relationship ÔÇô has scheduled a disciplinary meeting to address the situation. It is worth noting that this staff member has a negative relationship with several of my coworkers as well, but as an administrative personnel, they are not held accountable by anyone. Furthermore, this staff member altered my clock-in time without prior notification and has accused me of attempting to clock in over half an hour before actually arriving at work.
I firmly believe that this staff member harbors a bias against me, and I am seeking advice on how to approach the upcoming disciplinary meeting in a way that allows for mediation and resolution without unnecessary conflict. Additionally, I understand that my portrayal in this situation may not be entirely favorable, but I want to emphasize that I have had prior issues with this individual interfering with our work processes despite lacking relevant experience and dismissing the input of those with extensive knowledge and expertise. I have also discussed this matter with other coworkers who share the same sentiment about this staff member.

While it’s unfortunate that someone has it in for you clocking in while you’re travelling is just making it easy for them. While this is stating obvious the best way to fix this is a) Get to work on time b) Clock in, once you’re at work, but before doing anything else
Clocking in while you’re driving is lying about your hours and that will get you disciplined in a lot of companies.
Edit: Clocking in while you’re still travelling is not just a problem from a timekeeping point of view but also an emergency procedures point of view. Consider this (I admit it’s contrived) scenario. You’re travelling, and clock in. Then a fire breaks out and the building is evacuated. If you’ve said you’re at work you it could result in people looking for you in a burning building thinking that you’re passed out or trapped etc.
Edit2: Are you driving to work? And clocking in on your phone while you’re driving?
Well you tried to game the system, and clock on when you werenÔÇÖt at work.
Great case of f**k around and find out.
WhatÔÇÖs the legal question?
Simply explain their estimation can be out by up to 7.4 mins every day.
Some days you might clock in slightly late or get rounded up other days it’s slightly early and gets rounded down.
You can ask if It uses the system time or your phone’s time to do the clock in and out. Possibility of there been a difference, means rounding in one direction could be greatly exaggerated.
You appreciate them helping you keep a track of it but always attempt to faithfully clock in and out working within the system they use.
Request they maybe remove the rounding behaviour if they want more accurate times. I don’t understand how they can have an issue with 30min when they round to the closest 15.
You’re more then happy to fill out a manual book based off a clock at the office every day if they wish to audit your start time.
Essential highlight how big an issue they are making out of such a small thing.
Ohh no if it isn’t the consequences of your own actions.

Unsure if IÔÇÖm understanding this correctly. If you clock in at 6.55am, it will record you as starting at 7am because it rounds to the nearest 15? And because you often forget to clock in, youÔÇÖve started doing it 5mins before you arrive at say 6.55am so it accurately reflects your 7am arrival time? Is this correct OP? I understand your reasoning. Does it show you as having clocked in at 6.55am or 7am? The duty of care in case of emergency eg fire is an issue. But it depends whether it shows you as on the premises or not. I donÔÇÖt quite understand what this person has done- theyÔÇÖve manually changed your timesheets, but are refusing to give you a copy? So you donÔÇÖt know what times she has changed them to? Who is the disciplinary hearing with? I wouldnÔÇÖt say much in the meeting, listen to what they have to say and then ask them if you can come back to them. Or see if you can bring someone with you to the meeting for support (union rep if you have one). Your best bet is to be contrite, explain that you were only doing it to maintain accuracy of your start time since it rounds up to the time you actually start, say that you understand how it looks now but it wasnÔÇÖt intended that way, ask for a copy of the changed timesheets well before the meeting, i wouldnÔÇÖt bring up this other person that has it in for you. If you stick to the facts and are reasonable then you have a chance. You might have to make a concession such as docking your pay to reflect historical ÔÇ£inaccuraciesÔÇØ (even though you claim it reflected your actual start time they might not accept that). It depends how reasonable they are. IÔÇÖm not a lawyer! So up to you if you take my advice. Good luck. I donÔÇÖt think youÔÇÖre as unreasonable as some people are making you out to be. Just remember that even 5mins is considered fraud so be careful.
